Privacy Notice — ordering from Greek On Wheels

This notice explains what we do with your personal information when you order food from us.

1. Who is responsible for your information

Greek On Wheels, at 3 Hawthorne Ave, Ottawa, ON, K1S 0A9, is responsible for the personal information you give when you place an order.

We trade as Greek On Wheels. If you need the registered name of the business for a formal request, ask us using the contact details below.

We use ordering software supplied by Order Eat Repeat Ltd. That company stores and processes your information on our behalf and on our instructions. It is not free to use your information for its own purposes, it does not sell it, and it does not use it to market to you. If you want to see, correct or delete your information, ask us — the contact details are at the end of this notice. If you cannot reach us, you can write to help@ordereatrepeat.com and they will pass your request on.

2. What we collect, and why

When you place an order we collect:

• Your name, email address and phone number — so we can confirm the order, send your receipt, and reach you if there is a problem with it.
• Your delivery address, if you choose delivery — so we can deliver, and to work out whether you are inside our delivery area and what the fee is.
• What you ordered, including any options and quantities, and the amounts charged — so we can make the order and keep our business records.
• Anything you type in the notes box, including allergy and special-request notes — so the kitchen can see it.
• The time you ordered, and whether it was pickup or delivery.

⚠️ The notes box is free text, and what you write there is up to you. If you type information about your health — an allergy, an intolerance, a medical requirement — that information goes to our kitchen with your order and is kept with the order record. Please tell us what we need to know to prepare your food safely, and no more than that.

We collect this because we need it to take and fulfil your order. Without it we cannot supply you.

3. Payment information

We never receive or store your card number. If you pay online, your card details go directly to a payment processor. We receive only confirmation that a payment succeeded, and a reference for it.

If you pay cash, or by card in person, no card details are recorded in this system at all.

4. Who else sees your information

• Our ordering software provider, as described in section 1.
• Our payment processor, if you pay online, so the payment can be taken.
• Mapping and address services, when you type a delivery address, to check it and locate it.
• Email delivery services, to send your confirmation and receipt.
• Anyone we are legally required to disclose to, such as a tax authority or a court order.

We do not sell your personal information, and we do not share it with other restaurants.

5. Marketing and follow-up emails

Emails about an order you placed — confirmations, status updates and receipts — are part of supplying you, not marketing. They always arrive.

Because you ordered from us, we may also send you a small number of marketing emails: a note asking how your order went, an occasional offer, or a reminder when it has been a while. We send these only to people who have actually ordered from us, and only within the period the law allows. Every one of them carries an unsubscribe link. We do not sell your email address, and we do not share it with other restaurants.

If we run a rewards programme, your receipt may include a short note about your progress in it — for example, how many orders remain until a reward.

Unsubscribing stops all of it — the offers, the reminders, the follow-up email, and the reward notes in your receipts — permanently, unless you ask us to start again. It does not stop the order emails in the first paragraph. You can also simply ask us using the contact details below, and we will stop.

6. How long we keep it

We keep your order record for as long as we need it for the purpose we collected it, and for as long as the law requires us to keep business records — tax rules require several years, and card payment disputes can be raised long after an order.

When we no longer need to identify you, your order is anonymised rather than deleted. Your name, email address, phone number, delivery address and notes are removed, and what remains is the non-identifying transaction record: the amounts, taxes, times and statuses we are required to keep.

7. Your rights

You can ask us to:

• tell you what personal information we hold about you, and give you a copy;
• correct anything that is wrong;
• delete your information, subject to the record-keeping obligations in section 6;
• withdraw any marketing consent you have given, at any time.

We will respond within the time the law allows. Ask us using the contact details below.

If you are not satisfied with how we have handled your request, you can complain to the Office of the Privacy Commissioner of Canada, or to your provincial privacy regulator.

8. Keeping your information safe

Your information is held in the ordering platform's systems, encrypted in transit and at rest, with access limited to people who need it. No system is perfectly secure, but if a breach affects your information and creates a real risk of significant harm, you will be notified as the law requires.

Your information may be processed in Canada and the United States.

9. Changes to this notice

We may update this notice. The version that applied when you ordered keeps its own permanent link.
